You will see a small checkbox with a quite extensive Description, which reads Add the Submit for Approval button and Approval History related list to all opportunity page layouts. This option allows the addition of the Submit for Approval button, where the user can personally approve such a process without automation. Such a button can be added to the page layout with a related list with approvals to the page layout. This allows you to review and see the approval history.
- Another interesting checkbox on this form is the Use Approver Field of Opportunity Owner. This is an option to create a custom field where a user can choose another user and use them as the defined approver for that record.
- Next, we move to conditions. This is where the real fun begins. In this step, you can set the appropriate conditions that will activate your approval process. For example, on the opportunity object, you can use a condition of the discount amount and the appropriate stage for the opportunity, e.g., a 40% discount and a negotiation/review stage). Then, the approval process will be triggered.
If we’re talking about conditions, remember that you don’t have to rely only on fields and the values available there. You can also use formulas. When setting conditions through a formula, check its logic first using the Check Syntax button. - In the last section, you have three options for approvers. The first allows the person initiating the approval process to choose the approver. The second is the approver from a given field. The third is the default selected approvers.
After choosing all these options, all that remains is to confirm all the settings using the Save button. But is that all? I’ll disappoint you: no. Welcome to the next step.
We have already defined the basic elements of the approval process. But there are still steps that will be taken during such a triggered process. The first of these is Initial Submission Actions, i.e., actions that will be triggered during the launch of the process. The main action, which is set by default, is to lock all changes to the record. You can add a change here, e.g., you can change the status from Negotiation to In Approval Process.
